Dynamic Forms

For OTS Support Personnel

TWO TYPES OF DF ACCOUNTS

Dynamic Forms (DF) has two types of logins:

  1. an SSO (Single-sign-on) login  -- for use by TSU employees/students
  2. a non-SSO login  -- for NON TSU employees/students
(For example: a person who has to fill out forms before they’re officially an employee….or for a high school student who is applying for the Honors College)

The Systems Access page (the page you get to by clicking “Access” at the top of the TSU website) now has two logins for Dynamic Forms – an SSO one and a non-SSO one. --  View Systems Access Page

ALL DF FORMS LIE BEHIND A LOGIN

So all DF forms lie behind a login. No person can fill out a DF form without having a login. TSU employees and students (since they have a TSU network login/password) can login to DF using SSO. But if a person is not a TSU employee or student, they have to create an account…which the non-TSU-employee/student login allows them to do, as seen here: View Non-SSO login page>>

PASSWORD MANAGEMENT FOR DYNAMIC FORMS

Also note that on the non-SSO login page that it allows for the individual to handle their own password management via the "Forgot password" link: View Non-SSO login page >>

Of course the SSO-login just uses our regular ol’ network login/pass. So if a TSU student/employee is having difficulties logging in using the SSO-login page, they're either not remembering their most recent password or they are mis-typing it.

TWO ACCOUNTS

Therefore, some people could end up with two DF accounts – the one they had before they were a TSU employee/student (which uses their personal email address for its login) and the one they have AFTER they became a TSU employee/student. But more than likely, they’d not need to use the first one ever again much in life. But all of their pre-TSU-stuff/forms would be in it.

WORKFLOW IN DF

DF performs a bit of workflow functionality….because forms advance through different departments’ personnel…for them to sign & DF routes it to the next employee for approval and so on.

PERSONS SUBMITTING FORMS

Just so you know: Typically, a person is sent a link in an email….or they click a link on a TSU website….which is to the form in DF that they need to complete.

EMPLOYEES PROCESSING or APPROVING FORMS

Many managers at TSU have to approve tons of forms in DF. They receive emails asking them to sign the form. So then, they have to login to DF & digitally-sign the form. But they also, AT ANY TIME, can login to DF via the Systems Access page…and DF logs them directly into their “Pending Forms”. And they could proceed to process the forms waiting on their attention.
